You’ve just implemented MYOB Exo Payroll. You’ve used other payroll systems before. You’ve been processing payrolls for years, so you know how to do payroll. You’ve even implemented other payroll systems before.

A Critical System

As you would know, each payroll system has its own workflow and procedures that must be followed. Granted, all payroll systems are governed by legislation and are required to comply with changes in employment law. However, each payroll system has its own way in which these requirements are presented and, to some extent, interpreted. Having a clear understanding of how your payroll software manages employees’ pay, entitlements and reporting, is critical in any business. Not only does it have an impact on the business, but it has a direct impact on your employees.

Investing in Training

Imagine a farmer buying new harvesting equipment. He could simply let his staff use the equipment as they see fit, but he would run the risk of damaging the equipment, damaging the crops, and potentially affecting his harvest. Alternatively, he could ensure that his staff is well-trained to operate the equipment correctly. This removes the risks.  A farmer’s staff may know how to harvest crops, but they need to be trained on how to use the harvesting equipment correctly. Similarly, you may be familiar with payroll processes and feel confident in using a new payroll system. Invariably, errors will occur if system-specific processes are not followed, or vital steps are missed.

Training Courses

Here at Kilimanjaro Consulting we want to ensure that you and your staff are skilled at using your payroll system, eliminating   unnecessary errors and ensuring you get the most from the system. For this reason, we run regular courses on MYOB Exo Payroll in our Sydney and Melbourne training centres.

The first course in our 3-course series on MYOB Exo Payroll helps you get the most important process right – paying your staff. The Payroll Processing sessions takes you through setting up a new employee, ensuring they will be paid correctly and receive the correct leave entitlements. We also take you through the process of processing a payroll, including processing leave taken and the steps for processing termination pays. We teach you how to produce reports and also export the payroll journals to MYOB Exo Business.

The second course in the series, System Maintenance, flows naturally from the first course. When your system is implemented, the Allowances, Deductions and Superannuation Funds you use are already set up. At some point, you may need to make changes to these, or set up new ones. This session will teach you how to set these up so employees receive the correct payments/entitlements. We normally recommend attending both these sessions consecutively.

Setting up Employees

Tired of setting up diary reminders for employees’ birthdays or their annual reviews?

Setting up employees is time consuming because you have to specify common options every time a new employee is set up in the system? Unsure if a new employee is receiving the correct leave entitlements, or need to create new leave entitlement rules? Not sure how to produce that statistical report for management without having to spend hours collating information from different reports?

These are all topics covered in the third course in the series – Advanced Payroll Administration. If you’ve used MYOB Exo Payroll for a while and want to get more out of the system, this course is for you. This course teaches you some of the advanced features that are not usually part of your initial implementation.

MYOB Exo Business Tools Training

At some point in time, we all find ourselves in a situation where we need something done, but lack the skills or experience to do it. We are forced to ask others for help, and we walk away, happy that the job is done.  In the back of our minds, you can’t help but say: “If only I knew how to do that myself.”

For most businesses, managing internal systems is often relegated to the IT department. It is seen as part of their responsibility in managing the company’s IT infrastructure. When it comes to managing a business-critical system like your ERP system, this is best managed by a user who is familiar with the system and your business processes.

When implementing any new system, a designated project lead or “Project Champion” would usually also become the Super User. Being well-versed in the system; this project champion can help staff with questions regarding processes and functionality.  As new staff joins the business, they need to be set up with the relevant access.  Occasionally, change to users’ access or the addition of information is needed.  As these areas do not have a significant impact on the system, most business prefer to have a staff member manage these themselves.

At Kilimanjaro Consulting, we strongly believe in helping business get the most from their MYOB Exo Business system. For this reason, we regularly run our Business Tools course. This one-day course is aimed specifically at those “Super Users” with the responsibility of managing their MYOB Exo Business system.  One of the first topics covered in this course, is setting up new staff members, with access to the system, including menu options. We also show you how to easily make changes to the existing menus available to users.

As you use the system, you may find that you want to record extra information about your customers, suppliers or stock items – information that is specific to your business. Another topic covered in this course is adding in “Extra Fields” – areas where you can record this extra information. You may also find that the grouping originally used for your Debtors and Creditors needs refining. Creating and modifying these groups are also covered in this course.

Managing special prices for various customers and/or stock items can be time consuming and convoluted. The system can be set up to manage this automatically. Creating debtor pricing policies can manage these special prices for your customers and/or stock items.

These are only a few of the topics covered in our Business Tools course. Other topics include:

  • Setting up audit logs to track appropriate business transactions, e.g. discounts
  • Changing output options for business forms, e.g. which printer invoices are printed on
  • Setting up Head Office and Branch structures for Debtors and Creditors

Do you have the skills to scale the mountain?

For those that prefer looking at data rather than the business flow, our three EXO Clarity courses (Beginners, Intermediate and Advanced) provides an excellent introduction to the EXO Clarity report writing tool, as well as teaching you how to get the most out of reports. The Business Tools course is aimed at the EXO Busines super user that wants to make use of additional features available in the system.

Recently, we introduced two new courses on EXO Payroll. The Beginner’s Payroll course is ideal for those that are new to EXO Payroll. It covers the important aspects of running a payroll: paying employees. In October 2013, we will also introduce a third course on EXO Payroll: Advanced Payroll Administration. This course will be aimed at the super payroll user that wants to make use of the advanced features of EXO Payroll and be confident in maintaining key areas of the system.
